Customer Guide

1. What Is Wedding Budget Tracker Pro?

A browser-based wedding budget management tool designed to organize wedding costs, vendors, payments, balances, guests and budget progress in one place.

  • Create and manage wedding profiles.
  • Set a total wedding budget and currency.
  • Add detailed budget categories and vendor information.
  • Track estimated cost, actual cost, discounts, tax, paid amount and remaining balance.
  • Record individual payments and review global payment history.
  • Use status, priority, due dates, search, filtering and sorting.
  • Review spending through charts and monitor guest/RSVP information.
  • Export data, print/PDF, backup and restore.
Important: The tracker stores data in the browser and is designed to work offline. Because there is no cloud account, regular backups are important.

2. Getting Started

1
Open the tracker.
Start with the default wedding profile or create a new one.
2
Create or edit your wedding.
Enter the wedding name, date, total budget and currency.
3

For example: Venue, Catering, Photography, Decoration, Clothing or Transportation.
4
Enter financial details.

5
Record payments.
Use the payment action for a category when money is actually paid.
6
Review the dashboard.
Use totals, balances, budget usage and health indicators to monitor the wedding.
Best practice: Enter a payment when it happens instead of relying only on a manually typed “Paid” total. This keeps payment history useful.

  • Category
  • Estimated
  • Actual
  • Paid
  • Discount
  • Tax
  • Due Date
  • Status
  • Priority
  • Vendor Name
  • Vendor Phone
  • Payment Method
  • Notes

5.2 Status

PendingNo payment/completion has been recorded.
PartialSome amount has been paid but the category is not fully paid.
PaidThe category has been marked as paid.

5.3 Priority

High, Medium and Low let you visually prioritize important wedding expenses.

5.4 Editing and bulk actions

Categories can be edited individually. The table also supports Select All, Deselect, Delete Selected, Duplicate Selected and a short Undo window for deletion.

6. Understanding the Accounting Logic

The tracker uses the following documented formulas:

Net Actual = (Actual > 0 ? Actual : Estimated) − Discount + Tax
Balance = Net Actual − Paid
Paid = Sum of all transactions

Why this matters: if an actual cost has not yet been entered, the estimated amount can be used as the working cost. Discounts reduce the net cost, while tax increases it.

Example

Suppose a photographer has:

  • Estimated = $1,500
  • Actual = $1,400
  • Discount = $100
  • Tax = $50
  • Paid = $800

Then:

Net Actual = $1,400 − $100 + $50 = $1,350 Balance = $1,350 − $800 = $550
Advance payments: The tracker allows advance payments even when Actual is 0. This is useful when a deposit is paid before the final vendor price is known.

7. Recording Payments

Payments are tracked at the category level. A transaction includes:

  • Date
  • Amount
  • Payment Method
  • Notes

Available methods in the tracker include Cash, Bank Transfer, Credit Card, Debit Card, PayPal, Stripe, Venmo, Zelle, Apple Pay, Google Pay, Cheque and Money Order in the category payment controls.

Recommended payment workflow

  1. Open the category's payment action.
  2. Enter the payment date.
  3. Enter the amount actually paid.
  4. Select the payment method.
  5. Add a useful note, such as “50% deposit”.
  6. Save the transaction.
  7. Review the payment history for that category.

8. Global Payment History

The 📜 History control in the header opens the All Payments History view.

You can filter payment history by:

  • Category
  • Payment Method
  • From Date
  • To Date

The history view also shows a total for the filtered results, allows individual payments to be deleted and provides an Export History function.

Use case: At the end of each week, filter the recent date range and compare recorded payments with your bank/cash records.

9. Search, Filter & Sort

The Budget Categories table provides:

  • Search: Find categories/vendors/records quickly.
  • Status filter: All, Paid, Partial or Pending.
  • Priority filter: All, High, Medium or Low.
  • Sorting: Default, Name A–Z, Amount High–Low, Amount Low–High, Due Date and Priority.

The table also shows counters for Total, Paid, Partial and Pending categories.

10. Charts & Visual Reports

Spending by Category — Pie Chart

Use this chart to see how spending is distributed among wedding categories.

Estimated vs Net Actual — Bar Chart

This compares estimated category costs with calculated net actual values.

Charts are for visual monitoring. For exact financial review, use the category table and payment history values.

11. Guest List / RSVP Tracker

The tracker includes a Guest List / RSVP Tracker section below the budget charts.

  • + Add Guest adds a guest record.
  • Stats displays guest statistics.

Use this section to keep guest/RSVP information together with the wedding budget rather than maintaining a separate simple guest list.

12. Managing Multiple Weddings

The tracker supports multiple wedding profiles. The Wedding Bar contains:
